SUMMARY:
Assist project controls alongside the Project Manager, including budgeting, scheduling, planning, directing, and coordinating activities of designated project(s) to ensure that goals or objectives of said project(s) are accomplished within the prescribed time frame and funding parameters. Assuring the accuracy of financial forecasting by logging costs and project cost codes for budget reviews. Assist in preplanning phase by submitting and logging submittals, drawings, and RFIs and by performing the following duties personally or through surrogates, if applicable.
The incumbent must have the ability to work different shifts and long hours (8-12 hours), when necessary. Weekend work and extra hours occur according to production.
DUTIES AND RESPONSIBILITIES:
- Assist in the preparation of pre-job meetings (examples: plans specifications, budgets, cost targets, scheduling, and others as necessary).
- Assist Project Manager(s) in the management of all assigned jobs.
- Review & process shop drawings and submittals (including those from subcontractors), checking for accuracy when compared to drawings and specifications and ensuring timely return on approvals of said shop drawings.
- Responsible for timely application for, and securing of, job specific permits, licenses, variance, and other necessary approvals with Authorities Having Jurisdiction (AHJ).
- Distribute all drawing revisions to Project Manager(s), Superintendent(s), Suppliers, and Subcontractors; and request new shop drawings from suppliers and subcontractors as necessary to match revisions.
- Assist with the compilation of backup information and the pricing of drawing revisions and Field Extra Work Tickets, as assigned by the Project Manager(s) or Sr. Project Manager(s). Review all pricings with the Project Manager or Sr. Project Manager and submit to the general contractor or client.
- Maintain the Submittal Log and submittal process for each assigned project. Including reviewing and commenting on the rebar, post-tension, and other shop drawings.
- Update all received drawings to Procore in accordance with KD’s preferred methods of document organization.
- Document all applicable delays (weather, GC, suppliers, etc.) utilizing the Daily Log & Correspondence tools on Procore.
- Coordinate with Field to ensure all documentation has been completed regularly and accurately.
- Document project progess on a daily basis for reference
- Provide accurate information to Project Manager for backup in cases of legal and financial matters
- Update all project logs in a timely manner to ensure all recent activity and documents are readily available to upper management.
- Preparing, documenting, and submitting field payroll information so all pertinent parties can be paid accurately and timely.
- Assisting Project Manager during financial/budget reviews for accuracy in profit forecasting.
- Tracking and Relaying project costs analysis to Project Managers for adjustments and accuracy
- Coordinate, order, and ensure the timely delivery, of materials such as rebar, shoring, forming, post-tensioning, and general supplies.
- Audit’s the “yard man’s” inventory list on a regular basis.
- Maintain communication, multiple touch points daily, with the Superintendents & Assistant Superintendents of assigned project(s) in order to maintain visibility into the work and assist in identifying potential problems and aid in reaching solutions.
- Ensures that all deliveries and quantities are logged into the Quantities and/or Deliveries section of the Daily Log as well as logging quantities into the Recap Log.
- Track man-hours and job costs for all assigned jobs on a daily, weekly, and monthly review cycle.
- Meet with Superintendents and Project Manager to update the labor forecasting tool. Updating daily Actual Manpower versus Planned.
- Assist Project Manager(s) with End of Month Financial Reports for all assigned jobs.
- Relay Daily Logs to client, if requested, via Procore Distribution Lists.
- Develop, maintain, update, and execute a 3-Week Look Ahead Schedule inclusive of slab pours, inspections, and major material deliveries (Rebar, PT, Formwork, etc.) in coordination with the Superintendent. Ensure that the 3-Week Look Ahead is shared with the client and KD subcontractors/vendors. Document any deviations from the original planned schedule.
- Coordinate project activities with activities of government regulatory or other governmental agencies.
- Confirm all formwork delivery counts received and returned with the aid of Superintendent assigned field supervision and labor. Photograph and log all formwork equipment upon arrival or at time of return using Procore.
- Responsible and accountable for incumbent’s own personal safety.
- Responsible and accountable for the safety of all co-workers and any others incumbent encounters.
- Authorized and obligated to stop work on any task or series of tasks whenever an unsafe condition or situation is anticipated or observed.
- Reports violations of applicable laws, regulations or Company policies and procedures promptly, and is subject to appropriate disciplinary action (including dismissal) for failure to do so.
- Performs other related administrative and technical duties that may be assigned or requested by immediate supervision (such as certification training, safety training, procedure review, etc.).
EDUCATION & EXPERIENCE:
- Bachelor’s Degree in Engineering or Construction Management, or equivalent experienced as determined by KD Leadership, is required.
- 1-year work experience in the construction industry preferred.
- Show creativity, efficiency and discipline by improving work flow between office and field staff, being able to focus on tasks at hand while working onsite in a disrupting environment and maintaining focus.
- Ability to get along and work well with large groups of people.
- Leadership and management skills.
- A relatively high level of analytical ability for project efficiency.
- Must know how to prioritize tasks.
- Must have the ability to use judgement and discretion when making decisions in the absence of a supervisor.
- Ability to meet deadlines in a fast-paced ever-changing environment.
- Excellent computer skills including Microsoft Office; MS Project and Procore preferred.
PHYSICAL / MENTAL REQUIREMENTS:
The incumbent must be able to perform the essential functions of the job with or without reasonable workplace accommodation.
The individual must also be able to wear and properly utilize appropriate personal protective equipment, if required to work or visit the jobsite. This may include hard hat, safety glasses, respirators, ear plugs, steel-toed shoes, personal flotation devices, or other equipment as required by the work performed and location the work is being done.
The incumbent must possess the ability to remain calm during emergencies and respond appropriately as dictated by the circumstances of the incident and as directed by the Safety Representative or other management personnel. Must be capable of evacuating the work area in a timely manner, should an emergency situation arise.
In addition, the employee must occasionally lift and/or move up to 20 pounds.
